ATS resume checklist: formatting, keywords and a readable PDF
Check your resume with a practical ATS checklist, a truthful bullet rewrite example and a simple PDF text test before applying.
Before submitting your resume, check whether both a person and a document parser can follow it. An ATS score from a resume tool is an estimate, not the employer's decision. Use the checklist below to find fixable problems rather than chasing a particular number. Always follow the employer's requested file format.
1. Make the structure easy to follow
- Use familiar headings such as Experience, Education and Skills.
- Keep your name and contact details as selectable text.
- Use a simple reading order. A single-column layout is a useful starting point when you are unsure how a system will interpret a complex design.
- Write employer names, job titles and dates consistently.
- Use readable type and enough spacing; do not shrink the text to force every detail onto one page.
2. Compare the posting with your evidence
Make a short list of the role's main responsibilities and requirements. Next to each, note a project, responsibility or result that demonstrates it. Use the employer's terminology when it accurately describes your work, and spell out an abbreviation once when that helps clarity. There is no universal keyword density that guarantees a pass. Do not add a skill you cannot explain just to improve a match score.
3. Improve a bullet without changing the facts
Suppose your original bullet is 'Helped with testing.' If you actually reviewed acceptance criteria, ran Salesforce tests and logged defects, a clearer version is: 'Reviewed acceptance criteria, executed Salesforce UAT scenarios and documented defects in Jira to support release readiness.' This is an illustrative example, not a claim about every applicant. Add a measurable result only if you have evidence for it; do not invent a percentage.
4. Check the exported file
- Open the exact file you plan to upload and inspect every page.
- Try selecting and copying the text into a plain-text editor. Check the order of headings, bullets, dates and contact details.
- Search the PDF for a distinctive phrase to confirm the words are present as text.
- Check for clipped lines, unexpected blank pages and broken characters.
- After uploading, inspect any parsed application fields and correct mistakes before submitting.
The copy-and-paste test is a useful diagnostic, but it cannot certify compatibility with every employer's system. If a portal requests DOCX, supply DOCX. If it accepts PDF, check that the PDF contains selectable text rather than only an image.
5. Review the content as a hiring manager would
Lead with experience relevant to the role, keep your actual job titles, and make responsibilities distinct from results. Read the first few bullets without the posting beside you: can someone understand the problem, your contribution and the outcome? Tools can highlight missing terms, but your evidence should determine what stays.
Use JobsStudio as a review aid
JobsStudio's resume builder provides a single-column layout, PDF export and an estimated ATS match check. Compare its suggestions with your own evidence, review every rewrite and keep the final application accurate. A stronger document can improve how clearly you present your fit; it does not guarantee an interview.
